The Program Officer will support program delivery by managing day-to-day activities, monitoring service quality, and maintaining accurate documentation. This position will assist with training, reporting, compliance, and data analysis, while collaborating with team members and community partners to strengthen program outcomes.  

This role is part time based on funding.

Core Duties:

  Program Management/ Programmatic Activities  

• Maintain up-to-date self-education programs. Ensure other unit colleagues are informed as appropriate.  
• Regularly review program policies, forms, and manuals to stay abreast of changes in program implementation. 
• Support supervisor with development and curation of tools, resources and trainings on themes relevant to the program  
• Monitor general client well-being and conduct reviews of client case notes and case files to ensure quality and timeliness of service provision and fulfillment of documentation requirements.  
• As requested, represent CWS at internal and external conferences, meetings, committees and working groups with CWS colleagues, federal partners, and other stakeholders.  
• Support in the management of program trackers and assist with reporting and data collection for program reports and responses to requests for proposals.  
• Support the provision of needs-based technical assistance and training; this may be provided through e-learning modules, webinars, in-person training, communities of practice and one-on-one phone call  
• Train on orientation curriculum which includes a detailed explanation of program services, including but not limited to; acculturation, adult education, employment, mentoring/youth services and immigration legal services.  

  Grants, Reporting, and Compliance   

• Support compilation and analysis of narrative and data reports for submission to funder  
• In coordination with supervisor, analyze funding guidelines to ensure agency compliance; as necessary, assist in the development or revision of CWS policies, standard operating procedures, and training materials to ensure high quality service provision  
• Contribute to the development of the proposals when requested. In collaboration with supervisors and colleagues, review written narratives.  
• Contribute to required program reporting as necessary, including but not limited to, data and narrative reporting to ensure proper tracking and reporting of activities.  
• Regularly review qualitative and quantitative program data to identify program trends, areas for improvement, best practices, and make recommendations for program development and enhancements  

  Partnerships and Development  

• Develops and nurtures relationships with providers and other community partners to support program requirements and activities. 

 Perform other related duties and projects as requested.

Education:                                

• Bachelor’s degree in social work, human services, sociology, psychology, public administration, public health, or related field or equivalent experience. 

 Experience:  

• 5 years of experience working in refugee or immigrant-related services,  
• Experience in a local resettlement affiliate or a national office of a resettlement agency (preferred)  
• Experience in social services or nonprofit sectors (preferred).  

 Skills:                           

• Strong interpersonal and diplomacy skills; ability to work collaboratively and effectively with partners and teams.
• Strong attention to detail a must.
• Ability to always conduct oneself in a professional and courteous manner to represent the professional and institutional interests of CWS.
• Strong knowledge and experience in working with Microsoft Word, Excel, Power Point and database software is essential;   
• Strong writing skills are required.  
• The ability to work in a multi-cultural environment is required. 

Work Environment:

• Hybrid or in office environment depending on program needs. 
• Occasional evening or weekend hours for client emergencies or community events. 
• Some local travel may be required.
