The Program Coordinator is responsible for providing programmatic, operations, and administrative support to the Associate Director and to a Program team. The coordinator will assist with the effective functioning of the Program to include event coordination and planning, compiling project briefs, leading knowledge management efforts, support material assistance efforts, stakeholder communication, external engagement, and support for emergency resource distribution.
Essential Duties:
• Provide timely project management and administrative support to the Associate Director and the case management team.
• Support the Associate Director with preparation of program documents including program manual/tools, program impact reports including distribution of direct assistance, media stories, and program presentations.
• Support logistics including scheduling distribution events, outreach to partners on behalf of the program, managing shared calendars, and organizing key stakeholder meetings.
• Record, prepare, and distribute meeting minutes, action items, and follow-up tasks for internal and external stakeholder
meetings.
• Track progress on action items and deadlines, proactively coordinating with team members to ensure timely completion.
• Support onboarding for new team members by organizing orientation materials and ensuring access to administrative systems and resources.
• Coordinate procurement activities for the team, including preparing purchase requests, obtaining quotes, and maintaining records of purchases for necessary equipment and supplies.
• Develop and update templates, forms, and reference documents to enhance team efficiency and consistency.
Maintain and improve shared internal filing systems and team records according to organizational standards.
• Engage and liaise with internal teams, such as Finance and other Programs with tasks relevant to the team.
• Manage program requests: Vet, approve, and follow up on program related requests. Communicate and collaborate with external partners and staff when necessary.
• Provide oversight of emergency resource tracking and distribution: coordinate with case managers and all data collection and tracking.
