Purpose

The Manager of the Executive Office operationalizes the Chief Executive Officer's strategic objectives. Working hand in hand with the CEO and Chief of Staff, the Manager leads internal cohesion initiatives, invests in alignment with senior leadership across the organization and serves as the voice of the organization and its leaders both internally and externally. The person in this role is also a champion of the CWS staff and their priorities, communicating emerging needs and concerns with the Executive Leadership Team for consideration and action.

Responsibilities

Executive Communications

The Communications Manager of the Executive Office will:

  • Serve as the voice of the Chief Executive Officer including:
    • Drafting mass internal emails.
    • Drafting letters from the CEO for resources such as the Annual Report, staff handbook and funds development assets.
    • Curating and crafting talking points for CEO engagements.
    • Reviewing and copyediting CEO Reports to the Board.
    • Creating visuals for CEO presentations. 
    • Reviewing and/or approving public statements crafted by other staff and attributed to the CEO to ensure alignment of voice and messaging.
  • Create and execute an annual CEO communications plan to maximize his strategic public presence. 
  • Represent the CEO and Executive Office in working groups and other internal settings. 
  • Participate in CEO projects by keeping notes, establishing timelines or managing projects.
  • Serve as the written voice of members of the Executive Leadership Team when appropriate to support mass internal communication.

Internal Communications

The Manager of the Executive Office will:

  • Craft and maintain guidelines for internal communications, including mass calendar invitations, internal mass emails and virtual meeting logistics.
  • Support Executive Leadership Team members to send all-staff emails when needed.
  • Convene town halls and other all-staff calls, including scheduling, managing invitations and providing technical support.
  • Support the Chief of Staff in employee care initiatives.
  • Assist the Chief of Staff in communication and logistics related to Governance and Covenant member reports, meetings and convenings.
  • Schedule and convene the Tour of Teams.
  • Manage the State of Play planning team.
  • Curate and design the quarter Accomplishments newsletter for staff.
  • Maintain the Executive Office presence on the CWS intranet.
  • Offer support and technical expertise to other teams in setting their internal integration priorities and strategies.
  • Maintain positive relationships with senior leadership and staff across the organization.

Other Responsibilities

The Communications Manager of the Executive Office will:

  • Assist the Chief of Staff in projects as assigned.
  • Support the Chief of Staff in Executive Leadership Team communications.
  • Support the Chief Operations Officer to manage the Senior Leadership Team.
  • Collaborate with teams across the organization, including most prominently the Human Resources team, to improve employee onboarding and create opportunities for staff to engage with each other and with organizational leadership.
  • Continually seek out new ways to build organizational cohesion and culture.
  • Schedule and support planning of in-person CWS leadership meetings.
  • Support teams across the organization to build and maintain their sections of the CWS intranet.
  • This role also includes other duties as assigned.

 

Qualifications

Education: A Bachelor's degree or equivalent is required, ideally in nonprofit management, communications or international relations.

 

Experience:

  • Seven years of experience with a nonprofit organization's communication strategy is required.
  • Extensive experience understanding and quickly adapting to the organizational structure and communication flow is essential.
  • The ability to build a positive working relationship with the CWS CEO and Chief of Staff is essential.
  • Experience working with colleagues from across time zones and cultures is required. 
  • Experience working with a remote supervisor is preferred.
  • Experience and comfort with the following platforms are required:
    • Microsoft PowerPoint (or similar platforms including Canva or Sway).
    • The rest of the Office Suite (Word, Excel, Outlook).
  • Experience and comfort with the following platforms are preferred:
    • Adobe Illustrator
    • Adobe InDesign
    • Adobe Premiere Pro
  • Experience in social media management is preferred.
  • Experience managing staff is preferred.

 

Skills and qualities:

  • This position will be remote with a remote supervisor. As such, we are looking for a candidate with the skills to successfully manage their own time, prioritize their workload and meet their own deadlines and make sound judgements.

  • This position requires heavily on communication skills, whether it be in person or in writing. The Manager needs to have strong English communication skills and be able to get their point across clearly and graciously.

Special Requirements

  • This position will require travel within the United States a few times a year.
  • This position will require occasional travel outside of the United States.
  • This position will require occasional meetings outside of working hours.
  • The person in this position must be able to work with sensitive information and maintain confidentiality. 
  • This position can be hybrid or remote within the United States.
