Purpose

The Senior Administrative Assistant provides reception and administrative support to the NYC Headquarters office for Church World Service on a hybrid schedule. This person also provides high-level support to the Executive Leadership Team (ELT), individual members of ELT, and the Senior Director, Operations on behalf of the whole Operations team. S/he coordinates and supports the work of the ELT and HQ Operations team in coordination with other HQ departments, local and regional offices through project management, administration, and communications.

CWS seeks a motivated, detail-oriented person with strong organization skills and a team player. This position accomplishes this through a respectful, constructive, and energetic style that complements the other members of the team and is guided by the strategic and operational objectives of CWS.

Responsibilities

  • Serve as receptionist for the NYC HQ office 2-3 days per week including greeting visitors, managing mail and phone calls, and meeting A/V support.
  • Provide administrative support and project management in support of key initiatives of the Operations team and the Executive Leadership Team including calendar management, email correspondence, digital filing, and document formatting.
  • Manage special projects through communications, administration, and digital information management.
  • Format organizational policies and procedures according to the standardized template within Microsoft Word and according to style guide; and other formal documents as needed.
  • Administer and maintain departmental SharePoint site, including a centralized document storage system.
  • Provide administrative support, such as logistics, for meetings, events, and travel as needed for CWS leadership and Board meetings as needed.
  • Maintain shared calendars, respond to shared inbox inquiries, and organize team and cross-departmental trainings and meetings.
  • Assist with processing invoices and expense reports.
  • Create a system for tracking and collecting departmental metrics and reporting.
  • Create PowerPoint presentations in support of Operations leadership and Executive Leadership team.
  • Other duties as assigned.

Qualifications

Skills and experience:

  • Minimum of 3 years of work experience in administration, operations, or project management.
  • Strong independent thinking skills with ability to work independently and follow through on assignments with minimum supervision.
  • Organized with demonstrated experience working on multiple projects simultaneously.
  • Strong interpersonal skills with the ability to build relationship within the organization and externally .
  • Strong formatting skills in Microsoft Word and generally ‘tech savvy’. 
  • Excellent administrative, and customer service skills.
  • Ability to act with discretion and maintain confidentiality.
  • Excellent written and oral communication skills, including the ability to draft correspondence and other communication with minimum direction. 
  • Professional maturity and strong decision-making skills. 
  • Forward looking thinker, who actively seeks opportunities and proposes solutions. 
  • Proficiency and experience administering Microsoft SharePoint sites. 
  • Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint). 
  • Ability to speak Spanish is preferred.

 

Education:

Bachelor’s degree or equivalent work experience in lieu of degree.
